Implementation of an Electronic Health Record System

Objectives: In response to requests from state authorities, we undertook the development of an Electronic Health Record (EHR) system tailored to meet the needs of primary health providers. The key objective was to streamline medical business processes while ensuring comprehensive data management of products and services, including medications, medical procedures, diagnostic tests, and laboratory investigations, all in compliance with insurance coverage and regulations. Furthermore, the exigencies of the COVID-19 pandemic underscored the necessity for facilitating online interactions between physicians and patients, emphasizing the need for robust and secure data exchange.

Intellia EHR for primary healthcare providers

Solution: During the preliminary stages, Intellia Software Solutions meticulously crafted and delivered a comprehensive Concept of Operations document. This document was refined through collaborative review with the client, leading to the formulation of a detailed Terms of Reference (ToR) that delineated the mandatory data requirements for processing and reporting.

Through concerted efforts between our team and the client, we successfully developed an EHR platform with the following key functionalities:

  1. Patient Data Management: Efficient organization of patient information into comprehensive dossiers.
  2. Encounter Management: A comprehensive suite of tools for capturing encounter data, including patient complaints, vital signs, physical examination findings, symptoms, diagnoses (utilizing the ICD-11 classification), and prescriptions for medications, laboratory tests, investigations, and procedures.
  3. Chronic Condition Management: Specialized modules for managing chronic conditions such as cardiovascular diseases, diabetes, chronic kidney failure, chronic obstructive pulmonary disease, congestive heart failure, among others, enabling the tracking of severity, targeted organs, co-morbidities, clinical status and occurrence history.
  4. Population Screening Data Management: Dedicated features for capturing and managing population screening results.
  5. Pregnancy and Delivery Management: This module facilitates the reporting and confirmation of Last Menstrual Period (LMP), calculates the estimated date of delivery, records the actual date of delivery, and manages other pertinent pregnancy and delivery-related data.
  6. Laboratory and Imaging Results: Seamlessly upload laboratory and imaging results associated with each encounter directly to the patient’s electronic dossier, ensuring comprehensive and centralized record-keeping.
  7. Patient demise documentation: Enable the registration of patient deaths, including the cause, to ensure accurate and respectful handling of end-of-life data.
  8. Customizable Printouts: Generate a wide array of printable documents, including encounter summaries and referral forms, providing flexibility to meet various administrative and clinical needs.
  9. Visualization and Reporting: Tools for visualizing patient vital signs history, encounter history, and generating various statistical reports.
  10. Communication and Notification: Internal messaging system facilitating communication between users, automated notifications for key business events, and real-time monitoring of online users.
  11. Security and User Management: Advanced security features including two-factor authentication, role-based access control, and user management capabilities allowing administrators to manage user accounts and privileges effectively.
  12. “Who is online ” feature: This feature allows administrators to easily identify and monitor users who are currently active and logged into the system, enhancing oversight and facilitating real-time collaboration.
  13. Documentation and Support: Comprehensive user guides offering detailed instructions on utilizing all system features for different user roles.

The Electronic Health Record system was delivered and launched on schedule in 2020, accompanied by a 12-month warranty period. Presently, the system continues to operate successfully, meeting all customer requirements. Additionally, it is supported by a maintenance contract, ensuring continuous evolution and optimal performance for over 300 users.
